Terms of Use

1. Agreement to these Terms

These Terms govern your use of the FigureFolio website, designer, cloud features, export functions and Community (together, the "Service"). By creating an account or using the Service, you agree to these Terms. If you use FigureFolio on behalf of an organisation, you confirm that you are authorised to do so.

2. The Service

FigureFolio provides tools for creating, editing, organising and exporting scientific figures. Some parts of the designer can be used locally without an account. Account, cloud, Community and export features may require sign-in, eligible access or other limits shown in the Service.

Features can change as FigureFolio develops. We may add, remove or modify functionality, storage limits, supported export formats or access conditions where reasonably necessary.

3. Accounts and security

You are responsible for the accuracy of your account information and for keeping your sign-in credentials secure. You must not share access in a way that circumvents account restrictions or use another person's account without permission. Tell us promptly if you believe your account has been compromised.

4. Your data, figures and intellectual property

You retain ownership of the data, text, figures and other content you enter or create in FigureFolio. FigureFolio does not claim ownership of your research data or exported figures.

You grant FigureFolio only the limited rights needed to host, process, transmit, back up and display your content for the purpose of providing and maintaining the Service. This licence ends when the content is deleted from active systems, subject to reasonable backup and legal-retention periods.

You are responsible for ensuring that you have the rights and permissions needed for any content you upload or use.

5. Scientific responsibility

You are responsible for checking source data, calculations, labels, statistical conventions, accessibility, journal requirements and the final exported figure before publication or other use.

6. Personal, patient and confidential data

You must not use FigureFolio as a repository for directly identifiable patient information or other sensitive or confidential personal data unless you have a lawful basis, all required permissions, and have independently determined that FigureFolio and its providers are appropriate for that processing. Where possible, use anonymised, pseudonymised or aggregate data.

7. Community content

If you post in the FigureFolio Community, other signed-in members may see your post, display name, replies and related interactions. Do not post confidential research, personal data, copyrighted material you cannot share, or content that violates another person's rights.

You retain ownership of Community content you create and grant FigureFolio a non-exclusive licence to host and display it as needed to operate the Community. We may moderate or remove content that violates these Terms or creates safety, legal or security concerns.

8. Acceptable use

You may not:

• use the Service for unlawful, fraudulent or abusive activity;
• attempt to bypass authentication, access controls, export restrictions or security measures;
• probe, disrupt or overload the Service or related infrastructure;
• upload malware or content intended to harm systems or other users;
• use the Service to infringe intellectual-property, privacy or other rights; or
• misrepresent FigureFolio output as independently validated scientific or clinical advice.

9. Cloud storage and availability

Cloud storage is a convenience feature, not an archival guarantee. You should keep appropriate copies of important research data and final figures. We aim to keep the Service available and reliable but cannot promise uninterrupted or error-free operation.

Local browser storage can be lost when site data are cleared, a device fails or a browser removes stored data. You are responsible for maintaining backups appropriate to the importance of your work.

10. FigureFolio software and branding

The FigureFolio software, website design, branding, logos and other Service materials are owned by FigureFolio or its licensors. Except for the rights expressly granted to use the Service, these Terms do not transfer ownership of FigureFolio intellectual property to you.

11. Third-party services

FigureFolio relies on third-party infrastructure and authentication services, including Supabase and, when selected, Google authentication. Their services may be subject to separate terms and policies. FigureFolio is not responsible for third-party services outside our reasonable control.

12. Suspension and termination

We may restrict or suspend access where reasonably necessary to protect the Service, comply with law, address security concerns, or respond to a material breach of these Terms. You may stop using FigureFolio at any time and may request account deletion.

13. Disclaimers and liability

To the extent permitted by law, the Service is provided on an "as is" and "as available" basis. We do not make guarantees about uninterrupted availability, scientific validity, fitness for a particular publication or research purpose, or preservation of data.

To the extent permitted by applicable law, FigureFolio is not liable for indirect or consequential losses, loss of research data, publication delay, lost opportunity or decisions made in reliance on a figure without independent verification. Nothing in these Terms excludes liability that cannot legally be excluded or limits mandatory consumer or data-protection rights.

14. Governing law

These Terms are governed by the laws of the Netherlands, unless mandatory law in your country requires otherwise. Any dispute should first be raised with us so we can try to resolve it informally.

15. Changes to these Terms

We may update these Terms as the Service evolves. The date at the top shows the latest revision. If a change materially affects existing users, we will provide appropriate notice where required.
